Configure your firm

Set up the firm in a practical order before bringing clients into the workflow.

A useful setup order

A Partner, or a colleague with the necessary grants, should work through this checklist. You may not see every section if your firm role does not allow it.

  1. General: confirm your firm’s identity and any other issuing companies.
  2. Integrations and storage: connect the storage in which documents will be filed. Connect Xero if you will use Billing.
  3. Services: define the Services, client types, document requirements, and default fees.
  4. Job Templates: check the schedules, required dates, and applicable clients.
  5. Document Filing: check folders and filenames.
  6. Email templates and Automations: check messages, generation settings, and reminder timing.
  7. Team and Roles: invite colleagues and give them appropriate access.
  8. Billing: choose the issuing Xero organisation, the default revenue account, and the draft lead time, if Billing is enabled. Service fees, VAT, and the revenue account for one Service are set on that Service.
  9. Custom fields and Usage: add necessary client information and review the firm’s allowance.

Check with one example client

Before onboarding a large batch, add one example client using the firm’s agreed procedure. Check its Services, relevant dates, expected Jobs, document requirements, and fees.

Review any generated document before sending it, and review invoice drafts before issuing them. A successful setup save is not proof that an external connection is working.

If a section is missing

Sections follow your role grants and enabled features. Billing also requires the firm’s Billing add-on. Ask a Partner to check the configuration rather than changing unrelated settings.

Settings describe your firm. Individual client agreements belong on the Entity’s Service assignment. Read Services explained before changing a catalogue default to solve a one-client issue.

For illustrated storage setup, choose SharePoint or OneDrive or Google Drive. Then configure client document reminders for the relevant Job Templates.
