Connection problems and saved documents
Understand connection warnings, find waiting documents and recover an interrupted Xero publication.
On this page
Ziffa renews ordinary Google Drive, SharePoint and Xero access automatically. You do not need to reconnect because a routine access period has ended.
Understand the connection status
Open Settings → Integrations to check the affected connection.
| Status | What to do |
|---|---|
| Connected | No known connection problem requires action. |
| Temporarily unavailable | Storage work remains saved and retries with increasing intervals. |
| Reconnect required | Use the provider’s Reconnect control, or ask a colleague who manages that connection. |
| Check permissions | Check the account’s access to the affected folder or Xero organisation. |
| Setup problem | Ask the colleague responsible for the connection to check its setup or contact support. |
Colleagues permitted to reconnect receive an in-app notification and email when action is required. With standard roles, these are all active Partners. Delegated colleagues with the relevant grant are included. Reading the notification does not fix the connection. Daily email reminders continue while documents remain blocked.
Find documents waiting for storage
Open Documents → Processing files. Unresolved work stays visible, including filed-document moves, submitted forms, signed documents, invoice PDFs and receipts.
- Waiting for connection means the document is retained until the connection is restored.
- Retry scheduled means Ziffa will try again automatically. Check the next retry time where shown.
- Needs attention means the reason must be checked before filing can continue. Correct the cause, then select Retry filing or Retry processing if your role permits it.
You can continue submitting new uploads and forms while storage is disconnected. A submitted form is saved even when its filing is pending. Avoid submitting a second copy to work around the connection problem.
After reconnection, Ziffa checks access and resumes unfinished storage work. A restored connection does not mean every queued file has already finished. Check each document’s progress. Completed and cancelled items remain in this view for 24 hours.
Recover Xero publishing
Xero publishing requires a deliberate action. Reconnecting does not automatically publish an invoice or credit note.
Open the affected document and check its Xero publication panel:
- Reconnect required: reconnect if permitted, or ask a colleague who manages accounting integrations. Then select Retry publishing.
- Retry publishing: check any document correction or temporary-service message before retrying.
- Attachment pending: select Finish publishing. The Xero entry has already been recorded; this completes its attachment.
- Check publication: the previous result is uncertain. Open the stated organisation in Xero and check for an existing entry before proceeding.
- Published: the recorded publication is complete. Later edits in Ziffa are not automatically sent to Xero.
For Check publication, you can supply the matching Xero entry’s link or ID. Ziffa checks its details before linking it. Only choose Publish new entry after checking Xero and confirming that no entry was created. Repeatedly creating a new entry can duplicate accounting records.
The Xero needs attention document filter helps you find attempted publications that still need resolving.
