Document Actions

Use extracted document data in other software, and ask about a custom integration.

On this page

Document Actions use the values extracted from a document to do something useful with them: publish or send them into connected software, or download them in a supported format. You run an available action from the document’s Review tab.

Available actions

The actions offered depend on the document type, its extracted fields, your access, and the integrations configured for the Entity.

ActionWhat it does
Publish to XeroCreates a supported invoice or credit note in the Entity’s linked Xero organisation and attaches the source file.
Export to CSVDownloads the extracted values as a CSV file for use outside Ziffa.

A connected firm account alone is not enough for Xero publishing: the Entity must be linked to the relevant organisation. An unavailable action can explain which prerequisite is missing.

Check the values before publishing or sending

Compare the values in Review with the source file. Save any corrections before running an action. The action uses the document’s extracted values; it does not replace your judgement about whether those values are correct.

A successful publish or send marks the document Reviewed and prevents further field and document-type edits in the interface. A failed action leaves its review status unchanged. For Xero, complete success includes uploading the file attachment.

Export to CSV leaves the review status unchanged. Read Document activity for the events recorded and what to check after a failed or unconfirmed attempt.

Integrating with other software

The team behind Ziffa can create custom integrations so extracted document data can supply third-party software. For example, you might need selected invoice values in your accounting system, identity document data in KYC software, a document reference in a practice tool, or information passed into another business workflow.

An integration is not limited to Xero. What can be built depends on the other software’s available interface or import format, its access requirements, and the workflow you need. A request starts an assessment; it does not mean the integration is already available or that every product can be connected.

Ask about your software

Tell us the software name, which document values you need, and what should happen at the other end. Include your contact details so the team can follow up. You do not need a Ziffa account to enquire. Do not send client documents, passwords or API keys.
